Overview

Transport is the riskiest hour of the school day and usually the least recorded: routes in a driver’s head, student lists on paper, fee dues mixed into the general ledger. A school with nine buses covering a small town keeps route lists on paper — the driver knows the stops, a clerk keeps a register of who rides which bus, and transport dues are mixed into the general fee ledger.

Doing it by hand

When a parent calls to ask where the bus is, the office can only guess. A child moved to a new stop mid-session but the fee never changed, so at year-end nobody can total transport dues by route without a manual reconciliation. And if a driver is absent, his route knowledge leaves with him.

The cheap-ERP trap

The budget ERP let them type route names into a list, but riders weren’t really tied to routes, fees weren’t tied to riders, and a stop change meant editing three places by hand. Route-wise dues still had to be pulled apart in Excel at year-end, and the “where is the bus” question had no answer at all. Six months in, the transport in-charge kept his own paper register as the real one, because the ERP’s numbers never matched the buses.

Yes. Rider assignments are dated changes — fee implications recalculate from the change date and the history stays on the record.

Are transport fees separate from tuition?
