Hostel & Boarding

Blocks, rooms, allotment and boarding operations.

Overview

A hostel is the institution acting as guardian — around the clock — and paper registers are not guardianship. Hostel & Boarding tracks blocks, rooms, allotments, leave-outs and mess strength on live records, so wardens know who is where and the kitchen knows how many plates.

From gate registers to live occupancy and mess counts

Representative scenario — illustrative

A residential school with 600 boarders across four blocks runs its hostel on registers at each block gate — a room-allotment book, a leave-out register, and the mess cook’s own tally of how many plates to prepare.

Doing it by hand

When a parent calls at nine at night to check their child has signed in, the warden hunts through a gate register by torchlight. Free beds are unknown until someone walks the blocks, so admissions over-promises. And the mess cooks to a guess — some nights food runs short, other nights it is wasted.

The cheap-ERP trap

The cheap ERP had a “hostel” screen that stored room numbers, but leave-outs weren’t linked to guardians, mess strength was a static number nobody updated, and the girls’ and boys’ blocks couldn’t have their own wardens and visibility. It answered “which room” but never “who is out tonight.” Six months in, the wardens trusted the gate register again, because a boarder’s whereabouts is not something you gamble on a screen that’s out of date.

With ez.school

ez.school tracks blocks, rooms, allotments, leave-outs and mess strength on live records, so a warden sees every resident and leave-out for their block and free beds show the moment admissions asks. Boarder leave carries guardian approval on record and today’s leave-outs adjust the mess strength automatically — when the parent calls at nine at night, the answer is on screen, not in a register at the gate.

Inside the app

How Hostel & Boarding works for you

Occupancy you can see, allotment without arguments

Blocks and rooms with live occupancy, allotments recorded with dates, and free beds visible when admissions asks. Wardens per block see their residents, their leave-outs, their notes.

Leave-outs with guardians in the loop

Boarder leave requires guardian approval on record; today’s leave-outs adjust the mess strength automatically. When a parent calls at nine at night, the answer is on screen, not in a register at the gate.

Evaluation questions

Hostel & Boarding — asked and answered

Can hostel fees bill with regular fees?

Yes. Boarding is a fee head on the same invoice and reconciliation as tuition and transport.

How are leave-outs controlled?

Requests carry guardian approval, warden sign-off and expected return; overdue returns surface immediately.

Can we run separate girls’ and boys’ blocks with different wardens?

Yes. Blocks carry their own wardens, rules and visibility — a warden sees their block, the administrator sees all.
