Session rollover that keeps every student’s history
Representative scenario — illustrativeA 2,000-student CBSE school with Science, Commerce and Arts streams runs its structure from a shared spreadsheet: which sections exist this session, who sits in them, and what happened to a child two sessions ago.
Every March the office re-types the whole school into next year’s sheet. Roll numbers collide across parallel sections, two students end up on the same register line, and “which section was she in during 2023?” means digging through last year’s printouts. When a student passes out, the record simply stops — no one can say what became of it.
The cheap ERP treated classes and sections as text you type into a box, not real objects — so promotion was a bulk edit with no preview and no undo. The first rollover retained the wrong students and there was no way to reverse it cleanly, so the registrar rebuilt the session by hand. Six months later the structure and the spreadsheet had diverged again, and the office went back to trusting the sheet.
ez.school makes the structure itself the system of record. Departments, courses, classes and sections are first-class objects built once per session; promotion runs as previewable batches you can commit or reverse in strict order, roll numbers follow your own numbering policy without collisions, and passed-out students become alumni automatically — with every prior assignment preserved as a lookup, not an investigation.
| By hand | Ordinary ERP | ez.school | |
|---|---|---|---|
| Session rollover | Whole school re-typed each March | Bulk edit, no preview or undo | Previewable batches, reversible in order |
| Roll numbers | Collisions found later | A free-text field | Policy-driven, collision-proof |
| Past sections | Dig through old printouts | Overwritten each year | Full journey stays queryable |
| Passed-out students | Record just stops | Deleted or orphaned | Become alumni automatically |
